Job Specification – What responsibilities will you have?

The successful candidate will be the sole receptionist for our boutique firm of 20 staff; the first impression and welcoming face for our clients and visitors.

The primary aspect of this role is to answer the main office telephone lines and be responsible for greeting visitors to the office. The volume of calls and meetings fluctuate and so when not dealing with these priority tasks, the following additional tasks will form part of the receptionist’s role (training will be provided):

a.    Opening, preparing and closing the office facilities daily; cabinets, blinds, meeting rooms, reception, heating, air conditioning, replenishing the printers with paper etc.;

b.    Greeting clients and visitors upon arrival and making refreshments;

c.     Answering all telephone calls in the first instance, supported by the admin team, directing calls to the relevant person and/or taking detailed messages where necessary;

d.    Taking new enquiry calls daily from potential clients and allocating to case handlers to provide complex legal advice;

e.    Logging new enquiries on the case management system daily and adding all enquiries with ‘potential’ to excel for follow up;

f.     Following up on new enquiries by phone, text and email as instructed by the legal team daily;

g.    Retrieving and sending all Criminal Justice Secure Mail (CJSM) emails throughout the day immediately upon receipt of notification/instruction;

h.    Retrieving all new notifications and documentation from the Crown Court Digital Case System (CCDCS) daily;

i.      Conducting telephone interviews with clients who have consented to being a ‘featured client’ on our website and arranging filming of interviews where requested;

j.      Responsible for scheduling suitable social media posts in accordance with the firm’s guidelines on numerous social media platforms;

k.    Opening and scanning in all post & faxes received to the case management system and distributing to the allocated post checkers daily;

l.      Acknowledging all incoming post received from clients daily;

m.  Weekly online orders of stationery and refreshments according to the core stock list;

n.    Replenishing first aid kits;

o.    Testing of the fire alarm weekly;

p.    Testing of all firm telephone numbers, text messaging service and websites weekly;

q.    Preparing refreshments for the Managing Director daily;

r.     Taking and drafting minutes of firm meetings;

s.    Coordinating parking for staff, clients and visitors;

t.     Organising staff events.

CRIMINAL DEFENCE JUNIOR PARALEGAL

Job Specification – What responsibilities will you have?

The successful candidate will be working within a small team of 5 to provide support to our team of 9 case handlers. You are expected to have open communication with all of your colleagues and work as an integral part of the team to meet/exceed aims and objectives of client instructions, achieve common firm goals and targets and clear daily workloads. We work in a fast paced, high pressured environment so it is extremely important that you read and respond to all of your emails throughout the day, understanding the sense of urgency associated with instructions received.

Within your team, you will work on a weekly rotating system to give you variety in your role. A detailed description of the work you will be responsible for within the weekly rota system is detailed below (in depth training will be provided):

Criminal Defence

a.    Taking new enquiry calls daily from potential clients and allocating to case handlers to provide complex legal advice;

b.    Obtaining and combining dates of availability for trial Counsel and Experts daily;

c.     Contacting clients daily to arrange payment of overdue fees;

d.    Resulting cases in court the same day;

e.    Opening new client files upon receipt of instructions;

f.     Booking Counsel and Experts daily to attend all court hearings (usually 2-10 hearings a day);

g.    Conducting telephone interviews with clients who have consented to being a ‘featured client’ on our website and arranging filming of interviews where requested;

h.    Maintaining the firm’s approved register of Counsel and Experts;

i.      Chasing responses daily as instructed, from the courts, prosecution, police, GP surgeries, hospitals, clients, witnesses etc.; and

j.      Drafting correspondence and documents daily to assist the case handlers.

Court Preparation:

a.    Checking the outlook court diary and reporting to the case handlers at the start of each week, any deadlines of court directions due that week;

b.    Checking the outlook court diary and reporting to the case handlers at the start of each week, any briefs that require compiling and sending to counsel and/or chambers for hearings in court that week or the following week where the hearing is a trial;

c.     Contacting the court daily to confirm listing details for all hearings in court the next working day then confirming listing details to case handlers, clients, Counsel and Experts required to attend;

d.    Collating and sending briefs to counsel and/or chambers for all court hearings;

e.    Collating case law cited in skeleton arguments/applications and producing corresponding Index of enclosures;

f.     Copying and/or creating discs and links to video and audio evidence received from the prosecution and police; and

g.    Producing typed transcripts of video and audio evidence received from the prosecution and police.

Personal Injury:

a.    Opening new files upon receipt of instructions;

b.    Reviewing all open cases and providing updates to the Managing Director and assisting case handlers weekly;

c.     Drafting instructions and collating enclosures for Experts;

d.    Chasing responses daily, as instructed, from clients, GP surgeries, hospitals, witnesses etc.;

e.    Ensuring paper files are brought up to date to reflect the case management system before sending to our Costs Draftsmen for assessment;

f.     Obtaining and combining dates of availability for Counsel and Experts;

g.    Taking new enquiry calls from potential clients and transferring any high value claims to the Managing Director to provide complex legal advice; and

h.    Chasing insurers for payment of client damages and our costs daily.

Costs Recovery

a.    Producing bills of cases won on the behalf of the client, to send to the National Taxing Team (NTT), to claim partial recovery of the fees paid to us in defending their case;

b.    Chasing the NTT weekly to obtain Defence Costs Orders;

c.     Chasing clients daily to authorise bills produced before sending to the NTT;

d.    Sending all authorised bills to the NTT for assessment;

e.    Checking deadlines to submit bills weekly and applying for extensions from the NTT where necessary;

f.     Updating case handlers and clients with the progress and determination of all bills upon receipt of correspondence received from the NTT;

g.    Chasing payment of wasted costs from the courts and prosecution weekly; and

h.    Submitting Expert court attendance fees to the court for payment and chasing payment weekly until received by our Expert/s.

Office Support

a.    Opening, preparing and closing the office facilities daily; cabinets, blinds, meeting rooms, reception, heating, air conditioning, replenishing the printers with paper etc.;

b.    Preparing refreshments for the Managing Director daily;

c.     Greeting clients and visitors upon arrival and making refreshments;

d.    Opening and scanning in all post & faxes received to the case management system and distributing to the allocated post checkers daily;

e.    Acknowledging all incoming post received from clients daily;

f.     Logging new enquiries on the case management system daily and adding all enquiries with ‘potential’ to excel for follow up;

l.      Taking and drafting minutes of firm meetings;

m.  Preparing all outgoing post ready for collection and recording tracking numbers/proof of service within the case management system;

n.    Producing a record of post types and volumes sent at the end of each month;

o.    Closing all files ready for closure before the end of each month and arranging collection of files to go to our storage facility; and

p.    Quarterly reviews of files in storage and destruction of any files in line with our GDPR policy and procedures.

Job Specification – What responsibilities will you have?

The successful candidate will be working within the Legal Team and after detailed training you will have the responsibility of handling your own caseload of guilty plea files. You will be responsible for client care, strategy decisions – all aspects of handling a file. You will also work alongside Directors and Solicitors to assist them in dealing with more complex cases. You will occasionally assist the Legal Manager in collating statistics, preparing information for reporting to the Directors and social media.

Here’s more detail about what your job will include.

Handling your own case load:

You will handle a fast paced guilty plea case load after full training. We are often instructed with very little time before the hearing and you may have a number of cases in Court at the same time. In dealing with this case load you will be:

1. Advising clients on all aspects including technical issues, costs and penalties;
2. Drafting letters (both standard and non-standard) and documents;
3. Taking detailed proofs and mitigation statement from your client and any relevant witnesses (potentially out of office hours over the telephone);
4. Obtaining, reviewing and advising your client on character references;
5. Advising your client (both in writing and verbally) of the Court process and what they should expect at Court;
6. Instructing Counsel and speaking to Counsel ahead of the hearing and to take a full result;
7. Discussing the outcome of the hearing with your client;
8. Providing written result information to your client, with proper advice on any appeal;
9. Using a case management system to detail in file notes any actions you take, calls made or received, or papers drafted;
10. Properly time recording all work carried out on any file; and
11. Completing file reviews as required.

Assisting Senior Team Members:

12. Research case law and provide recommendations to senior members of the team based upon that research;
13. Reviewing evidence received form the CPS, including CCTV & Custody records (both to prepare transcriptions as well as providing a strategic view on the evidence);
14. Reviewing medical evidence and preparing detailed summary;
15. Taking and drafting proofs and witness statements;
16. Assisting with instructing Counsel and Experts;
17. Researching, compiling and indexing case law bundles;
18. Providing regular feedback on any delegated tasks;
19. Compiling monthly, quarterly and annual statistics of our successes for review by the Legal manager and directors;
