JOB TITLE: LEGAL MANAGER

(b) to be responsible for quality assurance and compliance;

(c) mentoring and training of staff; and

(d) streamlining of processes and case management development.

JOB TITLE: Legal Manager

REPORT TO/SUPERVISED BY: Managing Director and Director

TRAINING PROVIDED BY: Managing Director/Director/ External courses/ CPD

MAIN PURPOSE OF ROLE: Responsibility for supervision of staff, regulatory and Lexcel compliance. To assist with management and supervision of all staff within the Geoffrey Miller Solicitors team including HR provision.

To supervise all aspects of Geoffrey Miller Solicitors in the Managing Director’s absence.

KEY TASKS

  1. To develop and monitor key performance indicators (KPIs) for all staff
  2. To conduct one to one meetings with each member of the Geoffrey Miller Team on a monthly basis and record the outcome of each meeting.
  3. To provide a monthly report to the Managing Director and Director with full details of team performance for the preceding month.
  4. Assisting with the GM fee earners’ appraisals and providing required information to the Managing Director and Director in relation to rewards and salary increases.
  5. Identifying ongoing training needs in respect of legal training.
  6. Induction of new team members and daily and weekly meetings during the probationary period.
  7. To ensure that the requirements of Employment Law legislation and good practice are carried out at all times and maintain a written record of all conversations with employees and Mentor advisors to be stored on the personnel file of the individual(s).
  8. To agree and record all absences from the office.
  9. Checking post of all others in team including incoming and outgoing Correspondence. Examine and arrange to log all incoming post
  10. Ensure all Court hearings are covered and deal with any issues arising with Counsel or experts.
  11. Arranging telephone cover in the evening and over holiday period including Christmas.
  12. Applying appropriate law and procedures and firm strategy relevant to the type of case.
  13. On occasion it may also be necessary to work outside of usual office hours and whilst this will not be obligatory, it is expected that a mutual agreement will be reached. (Eg. In run up to annual maintenance review for Lexcel / IIP/attending Court)
  14. Quality control of experts and Counsel in accordance with firm procedure.
  15. Applying case management system, house style in all letter writing and office procedures and working in a self-supporting fashion where appropriate.
  16. Case management development, standard letters development.
  17. Overseeing and ensuring extremely high service and case standards are applied by all personnel.
  18. To ensure all files are Lexcel compliant and to oversee reviews of other team members files on a monthly basis.
  19. To complete the required amount of Common Professional Development required.
  20. Reviewing the new enquiry calls/conversions and compiling and analysing this info
  21. Managing the new enquiry follow up process
  22. Managing the first hearing follow up process
  23. Managing file allocation

MANAGEMENT AND ADMINISTRATION

To undertake compliance with and to be fully aware of all aspects of requirements imposed on a partner by the Solicitors Act, Solicitors’ Accounts Rules and Trust Account Rules, and all other Statutory and Law Society Rules and Regulations from time to time in force for the conduct of the business of a solicitor.

To comply faithfully in all respects with the impositions of the contract of employment, directions or request from any body or group exercising delegated authority of the Directors.

To encourage and promote the image and ethos of the firm.

To actively seek ways to contribute to the continuing evolution and development of the firm.

To have special regard for the needs and interests of any member of staff within an area of responsibility delegated to the Director.

To advise and supervise any member of staff and especially within an area of responsibility delegated to the Director.

To contribute towards training both in respect of staff and own self-development.

To undertake both staff and Director appraisals.

To communicate the needs of the Company especially to all members of the staff within an area of responsibility delegated to the Director.

To undertake any specified management responsibility.

To be familiar with, create and comply with the requirements of the firm’s Office Manual and quality standards procedures.

To assist  with marketing strategies and to assist with securing new work for the firm and maintaining relations with existing sources of referrals.

PERSON SPECIFICATION

1. Educational and professional qualifications.

Law degree/equivalent; PSC

2. Professional (relevant) experience.

Experience in management of other staff; experience in criminal law and procedure. Experience in Motoring Law desirable.

3. Personal skills.

To adopt the “Client is King” ethos in every aspect of work. To have a methodical approach to management with an openness and ability to embrace and act upon feedback.

4. Attributes required for managerial role

Supportive and approachable to all members of staff. Able to share knowledge and ideas for the overall good of the team. To have the ability to devise systems to improve efficiency. Good communication skills. Discretion and confidentiality for both the employees you manage and also towards the managerial team. Primary objectives are to support the Managing Director in her running the firm(s) and inspire and develop others to achieve their goals and achieve the firm’s goals.
